Office Administrator


An exciting opportunity for permanent office administrator in a growing healthcare communications agency that focuses on video and digital media content.

This is a role that combines general administration, office management, HR logistics support.

The position is ideal for a candidate who already has administrative or office management experience and is looking to expand their range of responsibilities to in-house marketing and project management within a close-knit, innovative team; and who is keen to take a key role in the development of office procedures and processes that will help account management, finance and creative/studio teams work together seamlessly, and contribute to the culture of the company.

The office administrator should be a reliable, efficient and proactive support service to all team members, particularly the MD and senior leadership team.

This is a varied and hands-on role with responsibilities ranging from organisation of cultural activities, supplier liaison, and basic office administration and management.

We are looking for a proactive candidate with excellent organisational skills who is able to multitask and manage office administration in a fast-paced environment. The ideal person will able to work independently and be confident in making smart decisions.

Responsibilities include:

  • The first point of contact for external customers and suppliers – answering the phones, meeting and greeting clients
  • Responsible for ensuring stationary and other office materials are stocked as required, and within budget
  • Managing liaison with third-party suppliers (landlord, cleaners, handy men, etc.)
  • Ensuring office is always tidy and respectable, including kitchen and cloakroom areas and managing general office processes
  • Lead office-related and personnel-related updates during team meetings
  • Making sure health & safety policies followed, responsible for any necessary first aid (training provided)
  • Supporting the managing director with diary management and travel
  • Coordinating internal events (social activities, Summer and Christmas parties, birthdays)
  • Maintaining holiday and sickness charts, and responsible for formal record-keeping
  • Assisting with recruitment process where required and running the on-boarding process of new staff (preparing desks, laptops and induction materials)
  • Liaising with IT support to resolve any problems
  • Setting up new clients/ suppliers and raising purchase orders
  • Managing office expenses, petty cash etc.
  • Supporting finance team with expenses reconciliations
  • Arranging and co-ordinating travel, hotel and event bookings worldwide where required
  • Maintaining awareness of internal projects and resourcing, and supporting project management teams where necessary, including work on company website, social media channels, award entries and scheduling studio
  • Supporting account management team on client projects when required

We are looking for an Account Manager with MedComms/MedEd experience to join our Account Management team. Brandcast Health is an independent, award-winning creative MedComms agency. We focus on creating informative expert-led content for Medical Education campaigns with an emphasis on delivering this information to an online and digitally influenced audience. – Brandcast Health

Combining digital expertise and medical education content with media production and healthcare strategy, we’ve partnered with many new clients who are looking for an agency that can take their campaign strategy into the digital era.

In order to grow our MedEd offering, we are hoping to find an Account Manager with experience working with pharmaceutical clients on Medical Education projects, such as advisory boards, publication planning, meeting planning and congress activity. A strong scientific story is at the heart of everything we do and we are looking to build a team who will challenge traditional tactics and who can take scientific and clinical educational campaigns to digital platforms. This role would be perfect for anyone who wants to expand the variety of projects they work on and people they work with to include creatives, developers and medical writers.

Recently, Brandcast Health have taken on a host of imaginative clients and we’d love to find an Account Manager to manage day-to-day client liaison and co-ordinate project activities from kick-off through to completion. As a new and enthusiastic team, coaching and developing Account Executives will also be an important part of the new role.

Account management:

  • To support senior team on new business proposals by drafting proposal documentation and budgets, and delegating research to Account Executives
  • To provide creative and strategic input on new business opportunities
  • To assist with business growth by suggesting potential new project work for existing and novel clients
  • To oversee the management of third-party suppliers in order to produce client-ready materials that are on-brief and on-budget
  • To review work produced by junior staff, giving them timely and fair feedback
  • To lead client calls and ensure that all meetings are set up correctly
  • To lead client f2f meetings when required, and to review and approve minutes that should be distributed promptly
  • To make sensible suggestions for approval by senior team on resolving potential strategic, cost or deadline concerns with client, and to subsequently brief wider team on solution
  • To oversee the update of status reports and send to client
  • To proof read materials when required
  • To develop project plans, timelines and budgets for complex projects in line with client brief, for approval by senior team
  • To brief internal team on project tasks and advise on allocated budget
  • To motivate and empower internal project teams to produce innovative and creative work and to give them feedback in a timely and fair manner
  • To proactively update client or account lead on progress of all projects on a regular basis
  • To reconcile projects on a regular basis, ensuring that senior team and client is warned in advance of any potential budget adjustments
  • To ensure that all projects are reconciled and invoiced accurately, and to maintain contact with finance department regularly with budget status updates

Strategic support:

  • Uses therapy area and platform/creative knowledge to add value to all assigned projects
  • Applies digital and creative innovation throughout project process
  • Ensure project team adhere to agency and client processes
  • Develops and applies knowledge of healthcare markets and regulations
  • Develops and applies knowledge of digital communications and campaigns

Brandcast internal support:

  • To oversee junior account team activities, ensuring they carry out their internal duties and maintain a professional manner with external visitors
  • To instigate and lead internal projects. E.g. marketing and process development

People Management:

  • To mentor junior account team on duties and carry out training for new starters
  • To give regular feedback to assigned direct reports and arrange 121 meetings so they can update you on project status and progress – reporting updates to senior team
  • To develop career objectives for direct reports and communicate progress during bi-annual reviews
  • Able to develop positive and trusting relationships with internal project team, demonstrating empathy and appreciation for their role
